Guidelines for a harmonious studio
The Movement Refinery has always been and will continue to be an enjoyable and safe venue for the community. We have some guidelines that will enable us to co-exist kindly and support each other for years to come.

Summary:
At our physical studio? Avoid activewear with zips or fasteners … our custom made equipment is very delicate!

Please tie your hair back to avoid injury and visibility of form

Before you start your session … phone off … shoes off … socks on!

All classes are pre-booked and pre-paid

The studio has a 24 hour cancellation policy (full fee charged) for Private Sessions/ semi-private sessions and 12 hours for group classes

If you ever have a question please ask

Chewing gum and body odour are not welcome!

Training – health and safety
Your safety and wellbeing is our priority, staff have the right to determine which level of training is suitable for you, please complete FIRST STEPS package prior to joining any classes. Our staff and contractors are not medically trained. They are not qualified to assess if you are in good physical condition and can exercise without risking your health, safety or comfort. If you have any doubts, we urge you to seek expert advice before starting an exercise program. Additionally, if you are under the care or supervision of an allied health, or primary care professional, you will need clearance to exercise in writing prior to commencing sessions at The Movement Refinery.
Exercise during pregnancy is recommended but also needs to be assessed on a case-by-case basis to ensure that the client is safe and comfortable. Please consider disclosing your pregnancy status to ensure your health and wellbeing needs are met.

There is an inherent risk of injury with any exercise. If you aren’t feeling your best, or have an injury (diagnosed or otherwise). Please inform the studio in writing of this and also communicate with your instructor each time. If you have an injury or don’t feel confident exercising, group sessions are not the right option for you and we urge you to take private sessions until you are confident and pain-free.

Attire
No zippers on the Pilates equipment – our equipment is hand made and your clothes can tear the upholstery. Please wear comfortable, clean and fitted clothing that allows your instructor to provide technical feedback. Shoes are not permitted past the entry point of the studio, please take them off and use a pair of non-slip socks for your workout.

Class
Arrive 5 minutes before the start time of your class. Latecomers (arriving after the advertised start time) are at risk of injury and disrupt the group, may not be admitted to group classes and will be charged a late cancellation fee. You are expected to complete the full class, every session.

Constructive feedback
Your instructor will lead the class and provide instruction to help you exercise safely and to get the most out of your body and time. If you struggle receiving feedback or don’t know how to process it, invest your time and energy in some private sessions to help bridge the gap. This will allow you to get more out of your teacher/student relationship and will provide the best experience at The Movement Refinery. All feedback to the student is constructive by way of offering safe and effective technical guidance and sharing years of industry expertise.

Hygiene
The studio has a shower, if you need to take one before class please arrive with enough time to do so.

Environment
We aim to provide a respectful and peaceful environment for all of our clients. We expect our clients to act with kindness and respect for others (staff and clients) at all times. Disrespectful, anti-social or aggressive behaviour will not be tolerated and the offending client may be banned from participating in classes.

Class schedule
We make every possible effort to deliver our services in accordance with our Class Schedule. Class Schedules are subject to change; we provide you with notice for permanent schedule changes, but may not able to provide advance notice in cases of last-minute staff or schedule changes. We are not liable in any way to provide you with a refund, credit, transfer, or to offer compensation of any kind, for Classes that are not held in accordance with the Class Schedule, including without limitation any Classes that are changed or cancelled.

Administration
Please keep up the studio up to date with correct contact details including phone number and email address.

Cancellation policy
The studio has a 24 hour cancellation policy (full fee charged) for Private Sessions/ semi-private sessions and 12 hours for group classes. Repeat offenders will be asked to find a solution.

Utilise our booking platform to make any cancellations.

Accounts and Membership policies
For any class packages, the date of activation of the package will occur when you first book attendance to a Class using the Online Booking System, or otherwise attend a Class.
No refunds, transfers, suspensions or extensions are offered due to illness, injury, change of address or any other reason.

Expiry periods
Block of 5 – 7 weeks after first class in block
Block of 10 – 12 weeks after first class in block
Block of 20 – 15 weeks after first class in block
Memberships – unused classes or visits do not roll into the next calendar month

Privacy
We use a third party client management software. In order to create a client profile, your personal information will be provided to the proprietor of the platform. The collection and use of personal information by the platform and is governed by their privacy policy.

Membership and direct debit information
All membership levels require a minimum commitment of thirty days.
If the member would like to discontinue the membership, please email membership@themovementrefinery.com.au with thirty days notice prior to your next direct debit.

Unlimited group classes are capped at a maximum of five per week to allow your body to rest and recover, optimising results.

Memberships only active with current direct debit agreement.

Dishonour fees will be charged if payment is declined.

Cancellation/Cessation
Member must provide 1 month notice prior to next direct debit date required to terminate package.

Foundation memberships will incur annual price rises.

Following the minimum commitment period, memberships will continue to be debited at the regular interval.

Failure to provide written notification of termination or suspension of membership will result in ongoing direct debits. No refunds will be offered.

It is the account holder’s responsibility to ensure there are sufficient funds available in their nominated bank account or credit card to cover the applicable fees for the Debit Memberships. If a payment is declined for any reason, we reserve the right to process payment anytime where sufficient funds are available in the nominated bank account or credit card in order to settle any fees that are owed. If an auto-debit is declined due to insufficient funds, our payment provider will charge $11.90 for any failed transactions. This fee will be debited seven days after the failed payment.

We bear no responsibility for additional fees that a holder may incur from their bank in relation to processing payment of fees for Debit Memberships.

Price changes
Pricing will increase annually and this will be built into all direct debits, with a notice period of one month to all members.

Suspension of membership
If the member requires to suspend the membership, this can be done no more than four times within a calendar year, not exceeding six weeks total per annum and only after the minimum commitment period has been served. At the member’s discretion the suspension period can be as little as one week but not exceed six weeks.

Members must email membership@themovementrefinery.com.au at least five business days prior to the next direct debit to arrange the suspension ensuring that they meet the criteria to do so. Suspension notices must be sent to the email address specified (membership@themovementrefinery.com.au) and will not be accepted by phone, in person, social media, or to any other email account.

If the debit from the nominated bank account or credit card for a Debit Membership fees fails and the member does not return communication attempts, The Movement Refinery may in its absolute discretion cancel the Debit Membership and will offer other payment options such as pre-purchased blocks in order to continue the relationship.

By creating a Debit Membership, the holder agrees to the terms and conditions of our third party biller, terms and conditions can be found in hard copy at reception for our Studio.
